When you submit a swimming enquiry through our booking form, we collect the information you choose to provide — typically the student or parent name, email address, phone number, the student's age (if supplied), the program and level selected, your preferred session type and schedule, and any message you write. We also collect your consent choice.

We do not collect payment information, health records, identity documents or passwords. Please do not send sensitive medical or diagnostic information through the general enquiry form — where a swimmer has specific support requirements we will ask for the relevant details directly and discuss them confidentially.

2. How this website handles your enquiry

This website is a static site. The booking form does not transmit your details to a server or store them in a database. Instead, it validates your entries in your browser and prepares a formatted message that opens WhatsApp on your own device, where you choose to send it to our official number, +971 52 939 2640.

If you prefer not to use WhatsApp, you can email the same details to info@epicswimmingaquatic.com or call us. Once you send an enquiry through WhatsApp, email or phone, your details are held by our team in order to respond to you and arrange sessions.

3. How we use your information

• To respond to your enquiry and recommend an appropriate program and level.
• To arrange, confirm and reschedule lessons and sessions with you.
• To maintain accurate parent, guardian and student records for the purpose of safe instruction and progress tracking.

We do not sell, rent or trade your personal information. We do not use enquiry details for third-party advertising. We do not add you to a marketing list without your agreement.

4. Photographs and media

Photography published on this website is licensed illustrative stock photography representing swimming, coaching and aquatic fitness environments. It is not photography of our students, instructors or facilities, and we do not present it as such.

Where video-assisted technique review is used as part of a coaching program, the format and consent arrangement are confirmed individually with the family before any recording takes place. Recordings are used for coaching feedback only and are not published without explicit written permission.

5. Cookies and analytics

This website does not set advertising cookies, does not use cross-site tracking pixels and does not run third-party marketing trackers. No marketing or analytics service is embedded that would build a profile of you across other websites.

6. Third-party services

A small number of external services are used to deliver the site: a font service for typography, an image delivery service for photography, a map embed for the location on the contact page, and WhatsApp for the enquiry flow. Each of these receives only the information needed to deliver their function, and each operates under its own privacy policy.

Enquiry details that do not lead to an active student relationship are retained only for as long as is reasonably required to respond to you and to keep an accurate record of prior conversations. Student records are retained for the duration of the training relationship and for a reasonable period afterwards to support continuity and progress records. You may ask us to delete your information at any time.

You may ask us at any time to confirm what information we hold about you, to correct it, to delete it, or to withdraw your consent to be contacted. Because enquiry data submitted through the form is sent by you directly to our WhatsApp account, you can also remove the message from the chat at any time.
